Overview
Budget vs Actuals is an internal financial review application used to compare budget data, transaction data, and review decisions for FC Tulsa and authorized collaborators. This Privacy Policy explains what information the application processes, how that information is used, and the controls available to authorized users.
Information We Process
The application may process user account information such as names, email addresses, usernames, roles, and assigned class permissions. The application also processes financial review data, including budget rows, transaction records imported from QuickBooks Online or uploaded files, notes, recommendations, approvals, audit history, and notification metadata.
How Information Is Used
Information is used to authenticate approved users, limit access by role or assigned class, display budget-versus-actual reporting, support transaction review workflows, record audit history, and deliver notifications such as in-app alerts and Google Chat mention notifications. Data is used only to operate, secure, and improve the application for authorized business purposes.
QuickBooks Online and Third-Party Services
If enabled by an authorized administrator, the application connects to QuickBooks Online to import transaction and budget information and to write approved corrections. The application may also use Google authentication and Google Chat for sign-in and notification delivery. Data shared with these providers is limited to what is necessary for the requested functionality.
Data Sharing
Information is not sold. Information is shared only with authorized users of the application, service providers needed to run the application, and third-party platforms such as Intuit or Google when those integrations are enabled. Access inside the application is limited by administrator-managed roles and class assignments.
Data Retention and Security
Data is retained for as long as needed to support financial review, auditability, legal obligations, and operational continuity. Reasonable administrative, technical, and organizational safeguards are used to protect information, including authenticated access controls, role-based permissions, and audit logging. No method of storage or transmission is guaranteed to be completely secure.
User Choices and Access
Access to the application is limited to approved users. Administrators can update account details, change permissions, disable access, and manage integrations. Users who have questions about their information or access should contact the application owner identified below.
Children
The application is intended for business use and is not directed to children.
Changes to This Policy
This Privacy Policy may be updated from time to time. Material updates will be reflected by revising the effective date on this page.
